Fan working group

OBJECTIVE AND IDEA
With the move to SAP Garden, additional channels of communication are needed with the fan clubs. This gave rise to the idea of a fan working group in the form of a more constructive dialogue in a smaller circle with representatives of the core fan groups. The aim of the fan working group is to establish a permanent, constructive, regular, and cooperative dialogue on an equal footing between the club management, the relevant departments of the club, and the fan base. All fan-related topics should be discussed and dealt with in a solution-oriented manner.
STRUCTURE COMPOSITION OF THE WORKING GROUP
The group of participants should reflect a broad spectrum of fan opinions, but at the same time remain limited to a maximum of 20 people in total. There must be a mix of continuity and renewal. This will be ensured by elections and a lottery system, which will take place every two years at the most.

TOPICS OF THE WORKING GROUP
The fan working group should take into account as wide a range of questions, opinions, and needs of the fan scenes as possible. All fan-related topics can be brought up by all participants, as can current developments, ideas, suggestions, and recommendations. However, all topics should be relevant to at least a large part of the fan base or be of significant importance for another reason. As the opinions of the fan scene are to be discussed, all fan representatives in the working group will gather the opinions of the groups they represent on the topics. Fans who wish to raise issues can also contact the fan representatives themselves.
MEETING SCHEDULE
The fan working group meets three times a year, once at the beginning of the DEL season (September/October), once in the middle of the season (January/February), and once after the end of the season (May/June). Additional meetings may be convened for valid reasons.
MEETING ORGANIZATION
Invitations to regular and, if necessary, extraordinary meetings of the fan working group are sent by the club in consultation with the working group four weeks before the respective date, including the preliminary agenda, to all members by email.
A club employee chairs and moderates the meeting.
Two sets of protocols are taken at each fan working group meeting. The first set of protocols is a working protocol and is intended exclusively for internal use by all participants as a working basis and for the traceability of past discussions. The second set of protocols is the results protocol of the meeting. This records all important results and decisions and is intended for publication. The protocols are drawn up by the club in consultation with the participants. The results protocol is published here approximately two weeks after the date of the meeting.
WORKING GROUPS
The working group may establish project-specific working groups, which may then discuss and develop the topics in greater detail with additional persons. The working groups report at the working group meetings.
CONDUCT AND CONFIDENTIALITY
Respectful interaction is important for a constructive and cooperative dialogue. Decisions and compromises are reached on this basis. Fan representatives can also coordinate internally on topics and pass on their recommendations to the club. These recommendations are not binding, but are always carefully reviewed and taken into account in the decision-making process. Participants undertake to maintain strict confidentiality regarding the content of the discussions. The results will be published approximately two weeks after the meeting, as described under the heading “MEETING ORGANIZATION.”
